Installation businesses (solar panels, antennas, roller doors, glass, security systems) follow a similar workflow: enquiry → site visit → quote → acceptance → parts ordering → installation → invoicing. Managing this pipeline across multiple clients at different stages is the core challenge. Track which quotes are pending, which have been accepted, which are waiting on parts, and which are scheduled for install.
Site visits and quoting
Most installation work requires a site visit before quoting. Group site visits by area — do 4-5 assessments in one suburb in a morning, then spend the afternoon preparing quotes. Record measurements, photos, and notes at each site so you can write accurate quotes without returning. Set follow-up reminders so accepted quotes don't get forgotten.

Don't schedule the installation until parts are confirmed — a cancelled install wastes a full day and frustrates the client. Block the full install duration in your calendar so you don't double-book.
Invoicing for installations
Installation invoices typically include significant material costs plus labour. Itemise materials separately so the client can see the breakdown. For warranty purposes, record serial numbers and product details against the job. Send the invoice the day you complete the installation — not a week later. Prompt invoicing with a clear breakdown builds client confidence in your professionalism.
